We Built projectAI, an AI-Native Project Management Tool, In-House and Now Use It Company-Wide

We have developed projectAI, an AI-native project management tool, in-house and have started using it across the whole company. We live in an era where both technology and business are changing shape at an unprecedented pace. Defining for ourselves what contract development should look like in a time of rapid change: projectAI is our first move toward that.

Why We Built It Ourselves

This project began by ending a contradiction: a "company that proposes DX" was itself still relying on other companies' SaaS. Monthly license costs, overlapping features, and business data piling up outside the company. By taking project management, the core of our business, back into our own hands, we can keep refining cost, data, and the working experience ourselves. We believe that is what makes it a true "weapon of our own."

The practical knowledge we gain here about "building AI into the core of the business" is applied directly to the AI implementation support and DX promotion support we provide to clients.

projectAI Features

  • Designed on ISO 21500, the international standard for project management published by the International Organization for Standardization (ISO), and on the PMBOK. Elements of running a project, such as scope, schedule, cost, quality, and team structure, can be managed systematically
  • Typical development companies use several tools side by side, such as Notion, JIRA, and Slack. projectAI narrows down to the features needed to run contract development and brings requirements, features, tasks, quality (bugs/tests), change requests, and meeting minutes together in one place (with automatic bilingual Japanese-English translation)
  • "Mr.AI," an AI agent that supports project management. Just @mention it in chat and it understands the context of the project and responds, helping with everything from answering questions to organizing records and analyzing change requests
  • More than 30 AI features, including translation, meeting minutes summaries, automatic task generation, and schedule planning, work across every area of running a project
  • We developed our own local LLM in-house and use it alongside cloud AI, choosing per feature. This enables a configuration where business data does not leave the company
  • A dedicated client portal shares progress, deliverables, and communications in real time. Tasks, issues, and decisions are extracted automatically from meeting minutes and chat, preventing gaps in the record

Everything visible on one screen, so you can focus on judgment and decisions. Our offices in Japan and Nepal moving forward while seeing the same picture, across the time difference. The countless decisions and project patterns accumulated in projectAI will become a common language across locations and generations, and the ground in which the next leaders and project managers are grown.

What Comes Next

While rolling it out as standard on client projects, we will continue developing in a way that keeps data, cost, and experience entirely under our own control, by bringing local LLMs and AI agents in-house. We will also share the knowledge of "a team that develops together with AI," proven in our own work, with companies working on DX through articles and seminars.

Changing ourselves is the strongest proposal we can make for changing our clients. Next, we will bring the way of developing proven with projectAI to our clients' projects.
