Case Study: A Full Renewal of Tsuhan Sozai, a Furniture and Interior Wholesaler's Ordering Service, So New Business Partners Can Use It Without Confusion

Overview

Cospa Creation Co., Ltd., a wholesaler of furniture and interior goods, runs Tsuhan Sozai, an ordering service for its business partners. Existing partners were used to how it worked, but finding product information meant downloading all the data first and searching through it, payment was by bank transfer only, and the procedures for ordering and invoices were complicated. The more new members the company added, the more time it spent on explanations and support.

The company contacted us through our website and selected us after comparing more than ten companies. We handled the full renewal, from screen design through development and infrastructure, and released it about five months after starting.

Challenges

  • Product information could not be searched or downloaded individually, so users had to download all the data before searching
  • Payment was by bank transfer only, and a lot of manual processing remained

  • Introduced credit card payments and simplified the procedures for ordering and issuing invoices
  • Migrated existing data, integrated with the core system and external e-commerce services, and switched over existing users' accounts

Hard-to-Use Screens Become a Problem When You Try to Add Business Partners

With an ordering system, day-to-day operations keep running as long as existing partners are used to it. The problem surfaces when you start adding new partners: explaining how to use the system and handling initial setup grow in proportion to the number of members. How easy the screens are to use is a management issue that determines whether you can grow your base of new business partners.

Because the existing business flow was clear, we chose to finalize the requirements before moving on to design and development. When integration requirements with the core system and other systems came to light along the way, we decided how to handle each one as it arose, and when we were waiting on requests to outside parties, we reshuffled priorities so progress never stopped. For existing users whose login method was changing, we sent advance notice and prepared reissued accounts before switching over.
