Moving Tens of Thousands of Items Correctly Across Multiple Sales Channels: A Core System and the AI Assistant "Buddio" for a Furniture and Interior Wholesaler

Overview

Cospa Creation Co., Ltd., a furniture and interior goods wholesaler that also sells directly online, receives orders from several shops: "Tsuhan Sozai," its ordering service for business customers, Rakuten Ichiba, its own e-commerce site and more. Some products ship from the company's own warehouse and others are delivered directly by vendors (suppliers), and the inventory it handles runs to tens of thousands of items.

As a co-creation partner since the renewal of "Tsuhan Sozai," we developed a core business system that ties orders, inventory and shipping together, along with the AI assistant "Buddio."

Challenges

  • Each shop had its own order entry point, and people decided which stock to assign to which order
  • Warehouse stock and vendor drop-ship stock were counted differently and shipped through different procedures
  • Because tens of thousands of items sold on several shops at the same time, there was a risk of inventory discrepancies and double selling

What We Did

  • Order and inventory management that collects orders from multiple shops and automatically allocates them from warehouse and vendor stock
  • Status management that handles the states of orders, purchase orders, receiving and shipping under consistent rules
  • API integration of inventory and orders across shops, including Rakuten Ichiba and the company's own e-commerce site
  • Dedicated screens for warehouse staff and for vendors, plus management of inquiries, after-sales service and accounts receivable

Results

  • Orders from multiple shops and warehouse and vendor inventory can now be handled as one set of data
  • Allocation and estimated shipping for each order can now be calculated automatically from stock and expected arrivals
  • The warehouse and vendors can now check shipping instructions and register tracking numbers on their own dedicated screens

Moving Tens of Thousands of Items Correctly Across Multiple Sales Channels

The difficulty of this core system lies not in the number of screens but in the logic. A single product sells on multiple shops at the same time, stock is split between the warehouse and vendors, and expected arrivals change every day. Which stock should be allocated to each order, and from which state (order, purchase order, receiving, shipping) is it safe to move to the next? We decided these rules one by one with the client and turned them into specifications, exceptions included.

We put our effort into working out the allocation and status rules completely, so that the numbers never drift even when tens of thousands of items move across multiple sales channels at once.

The AI Assistant "Buddio"

We built the AI assistant "Buddio" into the admin panel. Just ask it something like "How many orders did we get today?" or "Are any products out of stock?" and it looks up the core system's data and answers. You can get to the number you want right away, without opening a screen and setting conditions.

We also developed a mechanism in which AI answers inquiries to the Rakuten Ichiba store and the company's own e-commerce site, based on product and delivery information.

A Partner in the Truest Sense

The first request was to renew the ordering service for business customers. After that, we put the sales entry points in order one at a time, with a mechanism that automatically reflects product information in the shops and the company's own e-commerce site, and finally built the core system that takes in everything. Since it went live, we have continued adding and improving features.
